Suggestions are Google Docs’ version of track changes: edits shown in colour that only become real text when someone accepts them. Accepting them in one go saves clicking through a long review.
- Accept all suggestions at once
- Preview the final version first
- Accept or reject suggestions one by one
- Turn suggesting mode on or off
- Accept suggestions on mobile
Accepting all suggestions at once
Use this when you’ve read the suggestions and agree with all of them, or want to discard all of them.
- Open the document on a computer.
- Click Tools > Review suggested edits. A box appears at the top right.
- Click Accept all, or Reject all to discard every suggestion.
Result: Every suggestion, from every reviewer, becomes normal text or disappears. These are the steps in Google’s suggested-edits help.
The keyboard shortcut for Review suggested edits is to hold Ctrl + Alt and press O then U. On a Mac, hold Ctrl + Cmd and press O then U.
Warning: Accept all includes suggestions you haven’t scrolled to yet. If anyone might have suggested something you don’t want, preview first or review one by one.
Previewing the final version
Use this when you want to see how the document reads with all changes accepted (or all rejected) before you commit.
- Click Tools > Review suggested edits.
- In the box at the top right, click the Down arrow.
- Choose the preview you want: with all suggestions accepted, or with all rejected.
Result: You see the final version without changing anything. Switch the preview back to showing suggestions to continue reviewing, or click Accept all if you’re happy.
Accepting suggestions one by one
Use this when you want to keep some suggestions and reject others.
- Click a suggestion in the margin.
- Click Accept or Reject.
- Move to the next suggestion and repeat.
You can move between suggestions with the keyboard:
- Next suggestion: hold Ctrl + Alt, press N then U (Mac: hold Ctrl + Cmd).
- Previous suggestion: hold Ctrl + Alt, press P then U (Mac: hold Ctrl + Cmd).
Result: Accepted changes become normal text, rejected ones disappear, and the rest stay as suggestions. To see every remaining suggestion in a list, click Show all comments at the top right.
Turning suggesting mode on and off
Use this when you want your own edits to show as suggestions, or you’re done reviewing and want to edit directly.
Suggesting mode lets you propose changes without altering the original text. Your additions appear in a new colour and deletions are crossed out. The owner gets an email and can accept or reject them.
- At the top right, click the mode button (it shows Editing by default).
- Choose Suggesting to suggest, or Editing to edit directly.
Google’s keyboard shortcuts switch modes faster:
| Mode | Windows and ChromeOS | Mac |
|---|---|---|
| Editing | Ctrl + Alt + Shift + Z | Cmd + Option + Shift + Z |
| Suggesting | Ctrl + Alt + Shift + X | Cmd + Option + Shift + X |
| Viewing | Ctrl + Alt + Shift + C | Cmd + Option + Shift + C |
If you can’t find Suggesting, you may only have view access. Click Request edit access, or ask the owner to share the Doc with you as a Commenter or Editor.
Accepting suggestions on mobile
Use this when you’re reviewing on a phone or tablet. Google’s help for the apps covers one suggestion at a time; there’s no Accept all there.
- Android: open the Doc in the Google Docs app, tap the highlighted text, tap Suggestion, then tap Accept or Reject.
- iPhone and iPad: tap the highlighted text, tap View comment, then tap Accept or Reject.
- Suggesting on mobile: tap More, turn on Suggest changes, make your edits and tap Done.
For a long review, open the Doc in a desktop browser and use Tools > Review suggested edits instead.
Accepting all grammar suggestions
Use this when you mean Google’s spelling and grammar corrections, not a collaborator’s edits.
- Click Spelling and grammar check in the toolbar at the top left.
- In the box that opens, click More > Accept all.
Result: Every spelling and grammar correction is applied. Google’s spelling and grammar help also has Ignore all.
Comparing the methods
| Method | Best for | Works on |
|---|---|---|
| Tools > Review suggested edits > Accept all | Accepting or rejecting everything at once | Computer |
| Preview with the Down arrow | Reading the final version first | Computer |
| Accept or Reject on each suggestion | Keeping some changes | Computer, Android, iPhone and iPad |
| Spelling and grammar check > Accept all | Grammar corrections only | Computer |
Suggestions in Word and in merged documents
Use this when your suggestions are going to leave Google Docs.
- Downloading as Word: Google states that suggestions become tracked changes in Microsoft Office. In Word, on the Review tab, select Tracking > Accept > Accept All Changes to accept them there, as described in Microsoft’s track changes guide. The full conversion is in Google Docs to Word.
- Opening a Word file: tracked changes arrive as suggestions, so you can accept them all with the steps above. See Word to Google Docs.
- Merging Docs: Merge Docs Pro’s comment copying doesn’t copy suggested edits, so accept or reject them before you merge Google Docs with comments.
Troubleshooting
- Accept all is missing or greyed out: accepting changes the text, so you need edit access. With comment access you can only suggest.
- Your edits keep turning into suggestions: you’re in suggesting mode. Switch to Editing with Ctrl + Alt + Shift + Z (Cmd + Option + Shift + Z on Mac).
- You need a record of the review: accepting removes the suggestion marks. Make a copy first with File > Make a copy and Copy comments and suggestions, or download the Doc with its comments.
Comments that were resolved during the review are still in the file: see how to see resolved comments in Google Docs. More guides are in the Google Docs comments and review hub.
