Word shows “This modification is not allowed because the selection is locked” in the status bar when protection blocks your change. Other causes look the same: greyed-out menus, or typing that does nothing.
Work through the fixes in order. The first two cover most locked documents.
- Fix 1: Turn off Marked as Final
- Fix 2: Stop Restrict Editing
- Fix 3: Switch to Editing mode
- Fix 4: Remove read-only
- Fix 5: Fix Office licence issues
- Fix 6: Open a Word Online file in the desktop app
Fix 1: Turning off Marked as Final
Use this when a yellow bar says the author has marked the document as final.
- In the yellow message bar, select Edit Anyway.
- Or go to File > Info > Protect Document and select Mark as Final to turn it off.
Result: Typing and editing commands work again. Microsoft notes that Mark as Final isn’t a security feature, so anyone can remove it.
Tip: A yellow Protected View bar is different. Select Enable Editing if you trust where the file came from.
Fix 2: Stopping Restrict Editing
Use this when you see “the selection is locked” or only some parts of the document can be changed.
- Go to Review > Restrict Editing (in the Protect group).
- At the bottom of the pane, select Stop Protection.
- Type the password if Word asks for one, then select OK.
Result: All editing restrictions are removed. This is the fix Microsoft gives for unlocking a protected Word document.
If you don’t know the password, you can still edit any regions the owner left open. In the Restrict Editing pane, select Find Next Region I Can Edit or Show All Regions I Can Edit.
Warning: There’s no supported way around a forgotten password. Ask the document owner, or ask for an unprotected copy.
Fix 3: Switching from Viewing to Editing mode
Use this when you can read the document but can’t type, and there’s no protection message.
- Find the mode button at the top right of the ribbon, next to Share. It shows the current mode, such as Viewing.
- Select it and choose Editing.
Result: You can make and save changes. If only Viewing or Reviewing is offered, the owner hasn’t given you edit permission.
Fix 4: Removing read-only
Use this when Word opens the file as Read-Only in the title bar, or asks you to save a copy.
- In Word, go to File > Info > Protect Document. If Always Open Read-Only is highlighted, select it to clear it.
- Close the file.
- On Windows, right-click the file in File Explorer, select Properties, clear Read-only on the General tab and select OK.
- On a Mac, select the file in Finder, choose File > Get Info, and clear Locked.
- Reopen the document.
Result: Word opens the file normally and lets you save in place.
Fix 5: Fixing Office licence and activation issues
Use this when most ribbon commands are greyed out in every document, not just one.
- Check the title bar. “Unlicensed Product” means Office isn’t activated.
- Go to File > Account and sign in with the account that bought Microsoft 365 or Office.
- Check that your subscription hasn’t expired.
- Close all Office apps and reopen Word.
Result: Once Office activates, editing returns. Microsoft’s Unlicensed Product troubleshooting guide covers duplicate installs and the activation troubleshooter.
Fix 6: Opening a Word for the web file in the desktop app
Use this when a file in OneDrive or SharePoint won’t switch to Editing in Word for the web.
- In Word for the web, go to File > Save As > Download a Copy.
- Open the downloaded file in the Word desktop app.
- Apply Fix 2 or Fix 4 if it’s still locked.
Result: You get an editable local copy. Changes won’t sync back to the shared file, so send them to the owner or upload the new version.
Comparing the fixes
| Fix | What you see | Works on |
|---|---|---|
| Edit Anyway | Yellow “Marked as Final” bar | Windows, Mac |
| Stop Protection | ”The selection is locked” in the status bar | Windows, Mac |
| Editing mode | Mode button shows Viewing | Windows, Mac, web |
| Clear read-only | ”Read-Only” in the title bar | Windows, Mac |
| Activate Office | ”Unlicensed Product”, greyed-out ribbon | Windows, Mac |
| Download a copy | Web file stuck in Viewing | Web |
When you need a password or permission
Some locks can only be removed by the owner. You’ll need them when:
- Stop Protection asks for a password you don’t have;
- the document uses user authentication or rights management;
- only Viewing appears in the mode menu;
- your organisation’s policy blocks editing.
In those cases, ask for edit access or an unlocked copy.
Troubleshooting
- Only a form field or list is locked: a content control may have Contents cannot be edited checked. Select it and open Developer > Properties. This happens with drop-down lists in Word.
- The lock returns every time you open the file: the owner may have set Restrict Editing again, or the file is still marked Read-only in its properties.
- The title bar says Compatibility Mode and features are greyed out: that’s an older file format, not a lock; turn off Compatibility Mode in Word by converting it.
- “File in use” or “locked for editing by another user”: someone else has it open. Wait, or open a read-only copy.
- You’re on Google Docs instead: see how to lock a Google Doc to understand its permission settings.
